
Alumni and Donors Data Protection Statement
When you or your children leave The Glasgow Academy (The Academy), our External Relations team would like to stay in touch with you. We want to maintain and develop on-going contact with our former pupils, former parents and staff, to ensure a friendly, active and supportive community for life. To do this we want to keep you informed about what is going on at The Academy; invite you to events and keep you as part of the school, its history and its future. To assist us, we hold personal data about our former pupils, former parents, former staff, and event attenders consists of contract details you supply to us and other information about you to allow us work out what you will really want to hear about.
Information we collect about you
We hold information from your time at the school (whether as a pupil, parent, staff member or governor) or as a member of the Glasgow Academicals Sports Club. This includes your contact details, education history, employment history and personal information about your interactions with The Academy which includes: how you have interacted with our communications; whether you have attended The Academy events; and donations you have made. We also combine this with other information which is publicly available about you to help us to understand how you could assist The Academy and to determine what information would be most relevant to you.
We process this data because we believe it is in our legitimate interest as a charity to help maintain The Academy community and to encourage support for Academy projects. We will ensure that any processing we carry out will have minimal impact on you. We do not store any credit/debit card details.
Sharing your Data
The Academy will never sell your data. We will also never share your data with anyone to use for their own purposes unless disclosure is permitted or required by law. Only staff authorised appropriately by The Academy will be able to access the data held by External Relations.
External Hosting of data
Alumni and Donor data is securely hosted in the UK by InTouch operating under a contractual agreement with The Academy. The Academy ensures that all appropriate safeguards and security provisions are in place and InTouch’s compliance with its agreements and privacy notice are monitored.
How and why we may contact you
We will use the details you have given us to contact you by post, email or telephone about the full range of alumni activities and other relevant The Academy activities or services, including:
- sending alumni publications;
- promotion of benefits and services available to alumni;
- notification of and distribution of information about, events and reunions*;
- fundraising and other External Relations programmes.
*Please note that from time to time alumni may send us photographic images of student
cohorts for us to use in publicising events and/or reunions.
Your Rights
- You have a number of rights in relation to your personal data. A fee will not generally be charged for exercising any of these rights unless your requests are manifestly excessive or unfounded.
- The right to request access information about the personal data I am processing and to obtain a copy of it (Subject Access Request);
- The right to request that I change incorrect or incomplete data (Rectification);
- The right to request that I erase or stop processing your data, in certain circumstances (Erasure or Restriction of Processing); and
- The right to object to the processing of your data in certain circumstances (Objection); and
- .The right to ask us not send you any fundraising and information.
